What Documents Landlords Must Provide in 2026: A Practical Guide
With the introduction of the Renters’ Rights Act 2025, documentation requirements for landlords are becoming more structured and more strictly enforced.
From May 2026, failing to provide the correct documents at the right time may not only lead to penalties but could also affect your ability to manage or regain possession of your property.
1. New Requirement: Written Tenancy Information
Under the new framework, landlords must provide tenants with written information outlining key terms of the tenancy.
This must include:
- Landlord’s name and address
- Tenant’s name(s)
- Property address
- Tenancy start date
- Rent amount and payment schedule
- Notice requirements
👉 This information can be included within the tenancy agreement or provided separately.
2. When Must This Be Provided?
For new tenancies (from May 2026):
- Before the tenancy is agreed or signed
For existing tenancies:
- If written agreement exists → no need to reissue
- Instead → provide the government information sheet by 31 May 2026
If tenancy is verbal:
- A written record must be created and given to the tenant
3. Ongoing Legal Documents (Still Required)
In addition to the new requirements, landlords must continue to provide:
- Gas Safety Certificate (annually)
- Electrical Safety Report (EICR) (every 5 years)
- Energy Performance Certificate (EPC)
- Deposit Prescribed Information (within 30 days)
